How planning works

Start with what you know. We will work through the route, options and booking details with you.

Tell us the plan

Share your destination, departure city, dates, travellers and a working budget. Mention anything already booked or any assistance you need.

Review the options

Discuss routes, accommodation and the cost breakdown. Check what is included, what is optional and which supplier conditions apply.

Confirm with the team

Check the names, dates, payment instructions and written conditions before proceeding. An enquiry or quotation is not a confirmed reservation.

Before you authorise a booking

Ask for a written quotation that identifies the route, suppliers, dates, room or fare category, inclusions, exclusions and total in the stated currency. Check taxes, agency fees and any services priced separately.

Review the payment deadlines and conditions for changes, cancellations, refunds and no-shows. Make sure essential requests have been confirmed. Ask questions before accepting an arrangement you cannot change.

After confirmation

Keep your ticket, accommodation and transfer references with the written itinerary. Check passenger names against the travel documents, local travel dates, meeting instructions and supplier contact details.

For changes or a problem with an existing booking, contact the team using your quotation or booking reference. A new enquiry form does not amend or cancel an existing arrangement.
